Information we collect

Our project enquiry form asks for your name, email address, project location and a description of the property or site and what you would like to achieve. Your telephone number is optional. We also receive any information you choose to include in correspondence with us.

The required fields help us understand and respond to your enquiry. If you prefer, you can contact us directly by email or telephone. Please avoid including sensitive information that is not needed to discuss your project.

Website systems may also process technical information such as IP addresses, request times and browser details for operation and security. The contact form uses an IP-derived identifier and a temporary request counter to limit abusive submissions; these are separate from the enquiry sent by email.

How we use it

  • To read and respond to your enquiry and communicate with you about your ideas.
  • To discuss an initial consultation, the scope of a possible appointment and any next steps you request.
  • To operate the website, investigate faults and protect the enquiry form against misuse.
  • To meet applicable record-keeping duties or deal with a legal issue where this is necessary.

The enquiry form sends your message to our practice email address. Submitting it does not enrol you in a mailing list through the form.

Legal grounds

When you personally ask us to take steps towards a possible appointment, such as discussing a quotation, the relevant information may be processed because it is needed for those requested pre-contractual steps.

For general business enquiries, including correspondence on behalf of an organisation, and for proportionate website security, our relevant interests are running the practice, replying to people who contact us and protecting our systems. Use of information on this basis must be balanced against your rights and reasonable expectations.

A legal obligation may apply where particular records or disclosures are required by law. Where a feature requires consent, such as non-exempt optional cookies, that consent should be requested separately and can be withdrawn through the relevant controls.

Service providers

Relevant enquiry information is available to the practice members who need it to respond. Technical providers may process information when supplying website hosting, email delivery, support and backups.

Our website hosting is provided through Namecheap and managed using cPanel. cPanel is the hosting administration software. Enquiry delivery uses the email service configured for our WordPress website. Details of Namecheap’s own processing are available in its privacy notice.

Information may also need to be disclosed to a competent authority or professional adviser if a legal obligation or a particular legal matter requires it. The information shared should be limited to what is needed for that purpose.

Keeping information

The appropriate period for keeping enquiry correspondence depends on whether the enquiry is still active, whether further contact has been requested, whether it leads to an appointment, and any relevant professional, legal or dispute-related record requirements.

A retention review should consider those needs and whether the information remains relevant. This notice does not set an automatic deletion date for your email or for hosting backups.

The contact form’s temporary request-limit record has a ten-minute expiry. Mailbox, server log and backup retention are separate from that form limit.

International processing

Hosting and email services can involve processing in countries outside the United Kingdom. The locations and arrangements depend on the services and account configuration in use.

Where UK rules on international data transfers apply, an appropriate transfer mechanism is required, such as an applicable adequacy regulation or contractual safeguards. Please contact us for information about the arrangements relevant to your enquiry.

Cookies and third parties

This website uses CookieAdmin to present cookie choices and record preferences. Cookies and similar technologies can support site functions or other features. Their purposes and lifetimes depend on the services enabled on the website.

You can revisit the site’s cookie controls using the button below when they are available. Your browser also provides controls to block or remove cookies; some features may work differently after doing so.

If a page includes embedded social posts, video or other third-party content, the provider may receive device or connection information when that content loads. External websites you visit through a link apply their own privacy policies.

Cookie choices do not control information you deliberately send in a project enquiry. Contact us separately if you want to exercise a right relating to that correspondence.

Your rights

Depending on the information and the legal basis used, you may be able to request:

  • Access to your personal information and a copy of it.
  • Correction of inaccurate or incomplete information.
  • Deletion or restriction of use in the circumstances provided by law.
  • A portable copy of information where the conditions for that right are met.

Your right to object

You can object to use based on legitimate interests. Explain your circumstances when contacting us so the request can be considered. The right is subject to the conditions in data protection law.

Where use relies on consent, you can withdraw that consent. Withdrawal does not undo processing that was lawful before it. Rights are not absolute; some records may need to be kept where a legal exception applies.

Send requests to info@yukaandeagle.com. We may need enough information to verify your identity and locate the relevant records, and must respond within the applicable statutory time limits.

Contact and complaints

If you have a question or concern about personal information, email info@yukaandeagle.com, call +44 (0)121 682 9315, or write to the Birmingham contact address above.

You can also complain to the UK Information Commissioner’s Office. Visit ico.org.uk/make-a-complaint for guidance on raising a concern.
